Entry, Registration & Passes:
- Entry Policy: The Festival is free for all. However, attendees must register to gain entry.
- Issuance of Art Pass: Upon successful registration, an Art Pass will be sent via both Email and WhatsApp.
- Proof of Registration: All attendees must carry the Art Pass, which serves as proof of registration.
- Accreditation for Staff & Partners: Curators, artists, crew members, volunteers, and partners must collect accreditation cards from the registration desk at the Old GMC Complex. These must be kept on hand at all times for entry.

On‑Spot Registration & Seat Allocation:
- On-the-spot registrations may be allowed, depending on venue capacity. SAF reserves the right to reallocate tickets if a registered visitor does not arrive on time.

- Pass Usage & Limits: Each Art Pass is valid for only one individual unless multiple tickets are purchased. Users can register up to 4 tickets.
- Programme Attending Requirement: For select venues (e.g., The Foundry, Deenanath Mangeshkar Auditorium, the Theatre, and the Food Lab), attendees are required to arrive 20 minutes prior to the performance or workshop.
Cancellation, Refund & Programme Changes:
- Refunds: All tickets and registrations are non-cancellable, non-exchangeable, and non-refundable.
- Cancellation by Festival: If the festival cancels a programme, refunds will be processed within 10 working days.
Code of Conduct & Behaviour:
- Respectful Behaviour: No defamation, harassment, stalking, or threats. Legal rights of others must be respected at all times.
- Volunteer Treatment: Volunteers must be treated with courtesy, fairness, and respect, in line with SAF’s values of inclusion and equal opportunity.
- Promotions: Unauthorized distribution of promotional materials is prohibited. Prior approval from the Festival is required.
- Damage & Belongings: Attendees are responsible for their own belongings and for any damages caused.
- Prohibited Items: Alcohol, tobacco, narcotics, weapons, and hazardous substances are not allowed on site.
Accessibility & Inclusion:
- Universal Access: Ramps, elevators, clear signage, wheelchair access, and shuttle services are available at venues.
- Multisensory Art: Select workshops and installations feature tactile, braille, audio, and visual elements to ensure inclusive participation.
- Culinary Accessibility: Food zones provide dietary-specific menus and accessible seating options.
Volunteer Terms:
- Engagement Type: Volunteering is not a form of employment. Duties may include assisting artists, curators, registration, and visitor management.
- Eligibility & Conduct: Volunteers must be Indian residents, submit accurate documentation, and adhere to instructions, dress code, and attendance protocols.
- Stipend: Volunteers will receive a per diem stipend after the festival via bank transfer.
- Legal Compliance: Volunteers must comply with the laws of Goa and India. Misconduct may lead to liability.
- Confidentiality: Volunteers must not disclose confidential information. They assume all personal risk and waive SAF of liability.
- Termination: SAF may terminate volunteer service at any time. Volunteers may resign with two days’ notice.
- Dispute Resolution: Governed by Indian law; unresolved disputes will proceed to arbitration in New Delhi.
Health, Safety & Liability:
- Personal Safety: All participants and attendees are responsible for their personal safety and belongings.
- Right of Refusal: SAF reserves the right to deny entry or eject individuals for inappropriate behaviour.
- Volunteer Liability Waiver: Volunteers explicitly waive claims for personal injury and property loss incurred while on duty.
Privacy & Data Protection:

Data Collection & Use: SAF collects personal data—including names, contact details, photo IDs, and ticketing information—during your registration, booking, and entry processes. This data is used strictly for:
- Ensuring safety and access control at venues
- Managing ticketing and registration logistics
- booking confirmations, reminders, and relevant updates
- Enhancing your festival experience through personalized communications All information is securely stored and accessed only by authorised SAF team members for operational, safety, or administrative purposes.
- Legal & Security Obligations: To maintain a safe environment, SAF may share personal data with security personnel or venue partners as necessary, in accordance with legal or regulatory requirements. We comply with applicable Indian data protection regulations and good privacy practices in handling such information.
- Data Retention & Deletion: Personal data is retained only for as long as required for festival operations, legal obligations, or to address disputes or incidents. Once no longer needed, it will be securely deleted or anonymized following internal policies.
- Participant Rights: You have the right to request access to, correction of, or deletion of your personal data held by SAF. Please reach out to our Data Protection Team at [email protected].
- Security Measures: SAF implements industry-standard security measures—including encrypted storage, restricted access controls, and secure transfer protocols—to protect your data against unauthorized access or disclosure.
- Updates to Policy: This Privacy & Data Protection section may be updated from time to time, at SAF’s sole discretion. We encourage you to review the latest version on our website, accessible at serendipityartsfestival.com/terms-conditions.
Promotions & Media Rights:
- Photography/Filming Restrictions: Certain programmes prohibit filming and photography.
- Artist IP: No artwork may be used or represented as one's own without artist consent.
- Promotional Content: Third-party promotions are allowed only with SAF’s explicit permission.
- Artist Rights: Specific IP clauses will be detailed in artist agreements and media usage Terms.
- Copyright ownership: All recordings and photographs produced by SAF or on its behalf remain the exclusive property of the Festival Organisers and may be used at their discretion, unless otherwise agreed in writing.
Filming, Photography & Use of Images:
- By entering the festival venues: you acknowledge and consent to being photographed, filmed, and/or audio-recorded—as an audience member, participant, artist, volunteer, or staff—for promotional, archival, commercial, or educational purposes worldwide and in perpetuity.
- Rights granted: You grant Serendipity Arts Festival and its affiliates a royalty-free, irrevocable license to use your likeness (image, voice, name, performance) in any media—past, present, or future—without compensation or further approval.
- Release of claims: You waive all claims for invasion of privacy, right of publicity, defamation, or emotional distress, and discharge SAF from any liability arising from the capture, use, publication, or distribution of such recordings.
- No-shoot option: If you prefer not to be recorded, please notify festival staff on-site at the registration or information desk or ask to be directed away from filming zones. SAF will make reasonable effort to respect your request, but cannot guarantee exclusion from group or audience-wide shots.

Miscellaneous:
- Changes to Terms: SAF may update the terms and conditions at its discretion.
- Force Majeure: SAF retains the right to alter or cancel plans due to unforeseen circumstances beyond control.
- Governing Law: Indian law governs all terms; disputes are resolved via arbitration or category-specific mechanisms.
- Severability: If any term is found to be invalid, it does not affect the validity of the remaining terms.
